Office Policies

We realize that you have a choice in medical providers and are pleased that you have chosen to seek care with us. The staff at OmniCare Medical Group strives to exceed expectations in care and service to make your experience with us as comfortable and stress-free as possible. To help us achieve our professional goals we have implemented standard office policies. Please feel free to contact our office if you have any questions regarding our policies. Appointments and Sick Visits

Our practice is committed to providing quality care to our patients. To ensure timely continued care, we encourage patients to schedule appointments in advance of follow-up due dates. When calling for an appointment, please provide your name, telephone number, chief complaint/reason for visit, as well as any updated contact or insurance information. We encourage you to schedule appointments ahead of time for preventative health visits, physicals, chronic medical conditions, prescription renewals and lab results.

We understand that there are emergency cases and sick visits in which you would like to see your physician as soon as possible. For this reason, we are happy to offer same day appointments. If a physician’s schedule is full our staff will do whatever we can to accommodate you and provide you with other physicians or providers in our practice to take care of you. We do not accept any walk-ins and ask that even in an emergency you contact our office to schedule an appointment.

What to Bring to Your First Appointment

If you are coming to us for your first visit, kindly bring the following with you to ensure records are accurate. Should any information change at any point, please notify our staff as soon as possible and we will update your chart.

  • Driver’s License or State ID
  • Insurance Card
  • Co-Payment
  • Referral notice if applicable
  • Recent lab work results
  • Recent imaging or test results
  • Current list of medications

Prescription and Refill of Medications

Prescription requests submitted after 3:00pm will not be called in until the next day. We do not refill prescriptions over the weekend. Please submit your request before 3:00pm on Thursday if you need your prescription filled before Monday.

When leaving a message on our prescription line please include as much information as possible, including the following:

  • Complete name with spelling of last name
  • Date of birth
  • Name of the pharmacy and phone number
  • Name of medication and prescription number if available
  • Any allergies to any medications

Will not refill prescriptions for patients not seen in the past 90 days by one of our providers. Please note that we do not fill Narcotic Medications over the phone.

Insurance and Payment Policy

For your convenience, our practice accepts most insurance plans. Please click here to see a list of insurance carriers we accept. If you have specific questions regarding your insurance, please contact our billing department at 973-674-2242 ext. 103. It is patient responsibility to inform our office of any changes in insurance coverage. Failure to do so could cause delay or denial of insurance payment.

Patients are responsible for co-pays at time of service. If applicable, you will be billed for services not covered by your insurance (as stated in your insurance contract) by our billing department. We accept cash, personal checks, Visa, Mastercard and Discover.

Letters and Forms

We understand that at times, various forms or letters may be required to assist you with your healthcare needs. Our staff will be happy to complete forms and write medical letters as necessary upon your request. However, because this can be time consuming, please allow 7-10 days for completion of requested forms/letters.

Medical Clearance

If you need a medical clearance for any surgery or medical procedure, we ask that you please schedule an appointment with our office at least two weeks in advance before the procedure. We need to ensure that we have enough time to preform a complete physical and lab work before we can provide you with the medical clearance letter.

Cancellation

To be respectful of the medical needs of our patients please be courteous and call our office promptly if you are unable to attend an appointment. This time will be reallocated to someone who needs treatment.

If it is necessary to cancel your scheduled appointment, we require that you call one (1) working day in advance. Appointments are in high demand, and your early cancellation will give another person the ability to have access to timely medical care.

No Show

A “no show” is someone who misses an appointment without canceling it within one (1) business day in advance. No-shows inconvenience those individuals who need access to medical care in a timely manner. A failure to present at the time of a scheduled appointment will result in an administrative fee of $35.00. You will be sent a letter alerting you to the fact that you failed to show for a scheduled appointment and did not cancel the appointment within one (1) business day in advance along with the bill for the administrative fee. Please note that No-Show charges are patient responsibility and will not be billed to your insurance company.
